How to create a credit note
Create a credit note from an invoice.
Open the original invoice to be credited, using the Actions button or right click to open more menu options. Select Copy invoice as Credit Note.
The new window will display the copied invoice is now ready to be processed as a credit note. Highlight the line(s) to be retained on the credit note removing all others using the Remove Item button.
If the line detail is correct but the quantity or amount needs to be altered, select Edit this Credit Note Item
Adjust the fields in the Work with Invoice Items window to represent the detail on the credit note.
Select OK to confirm the changes.
The credit note will display the changes made with the invoice retaining the original detail. The invoice this credit note is linked to will be confirmed in a field below the customer detail.
If for example the delivery charge is not part of the credit note, highlight the line and select the Remove Item button. If there are multiple lines on the original invoice and these are not to be included on the credit note, highlight each line and remove them.
Print Credit Note
To print the credit note, use the Actions button or right click to open additional menu options.
In print preview mode, select the print icon top left. Alternatively close the print preview to be prompted to send an email.
If no print is required, select the Email credit note where a new email will be created within Outlook with the credit note attached as a PDF file.
Create Credit Note without a Works Order
Occasionally it may be necessary to create a credit note that is not linked to a works order.
Open the invoice module and select the large + at the top of the window to create a new record.
Select the radio button for Credit Note and enter all the relevant dates, fields marked with an * are mandatory.
Retrieve the customer name from the customer database using the search button. Select OK to continue.
Use the Actions button or right click to open additional menu options. Select the Add a new Credit Note Item, this will open the
Manually enter the details relating to the credit note, if there are multiple entries use the Ok + Add.
The credit note will display the details as required. When exporting to a financial system this credit note will appear on the sales ledger with no links to any works orders or previous invoices.
